March Meeting

Sunday, March 13, 2005 at 10 a.m. at the Honolulu Advertiser conference room

I.               Call to Order

The meeting was called to order by Shauna Goya at 10:15 a.m.

a.      Present: Craig Gima, Eric Udouj, Daniel Chinen, Joann Shin, and Eugene Tanner.

*No voting took place, since there were not enough people for quorum.

II.             President’s Report

a.     Shauna showed the Japanese Cultural Center’s ad thanking AAJA members for volunteering at the Ohana Festival.

b.     Letterhead is done.  The letterhead has officer names and contact information.

c.     World War II film screening at UH, Friday, March 18th.  AAJA is co-sponsoring event.  Volunteers are needed.

d.     Membership update- Not everyone (board members) has paid this year’s dues.  Also asked members present to call members and encourage them to renew membership.

III.           Treasurer’s Report- Yu Shing met with Shauna before meeting.

a.     As of February 28, 2005, two (2) checks were issued.  $145 for the AAJA mixer in February and $60 for (3) dozen t-shirts.  Shirts will be used for chapter tees.

b.     Yu Shing needs to get design from Darren Pai.  She only ordered large shirts for first batch.  The cost of material/production is $5 each.  Chapter can sell for $10 or use t-shirts as gifts.

IV.           National Rep’s Report

a.     Craig passed out Q&A on AAJA national Media Watch.

b.     Video promoting 2006 AAJA convention in Hawaii is due soon. Craig will try to find samples shown at previous conventions.  Theme for our convention is: “Face of the Future”.

c.     Need people to sign up to chair committees.  Chapter will be in charge of the following: Silent Auction, Banquet, Programming, Student Media Projects.

d.     Fundraising: Chapter is required to raise $200,000 for the convention.  Realistically, chapter should raise between $100-150,000.  Look for corporations or ask ethnic organizations, i.e. Japanese Cultural Center for their list of sponsors.

e.     Travel Grants will be available to Hawaii members.  Deadline to apply is May 6th.

f.      AAJA is looking to revise its national alcohol policy to prohibit chapters from reimbursing alcohol at any events.  While those present at meeting agree that policy should be in place, Craig is asking for leniency, to exempt special circumstances, such as paying for the guest of honor at our annual Sushi & Sake night.

V.             Membership Drive

Joann is coordinating event.  The event will be at Gordon Biersch at 5 p.m on Sunday, April 3rd.  Look at several options, including Dave ‘n Busters, but GB had the most reasonable menu.  The event will have no host cocktails and chapter will provide $300 worth of heavy pupus.  Encourage members to bring potential members to event.  Also invite ethnic media.

VI.           Media Basketball League

a.     9 teams signed up: Honolulu Advertiser, Hawaii Business, KITV, KHNL, KHON, UH Media Relations, MidWeek, Honolulu Star Bulletin, and Oceanic.

b.     Update on equipment/refs: Gym 1 will be used for the first 5 weeks.  Do not have scoreboard at this time.  Need portable clock and flip cards.  Also need referees.  If you know of any refs interested, please contact Yu Shing.

c.     Board voted to exclude spouses, in order to keep rules simple and fair.

d.     Refreshments-Kanoa is working with uncle to get water to sell at games and chapter will also sell snacks.

e.     Games start Sunday, April 10, 2005 at 6pm. The league runs for 9 weeks.

VII.         College Night

a.     The college night will be help on Thursday, April 14th at 7:30 p.m. at KHNL News 8.  The group will have a chance to meet with news professionals to talk about resumes, tapes, etc.  Then group can watch live show of K5 News at Nine.  Stephanie is coordinating event with Shauna.

VIII.       Sushi & Sake Night

a.     Eugene will take over event.  Eugene compared the expenses from last year and projected costs for this year, with and without Justin as coordinator.  The total expenses would be more without Justin.  AAJA will work with Justin, but under certain circumstances.  Justin will be required to sign contract and will need to meet deadlines.  Also chapter will need to be informed of at least 5 vendors participating.  If conditions are not met, fees will be deducted.  Eugene is also asking Justin to waive room fee of $500.

b.     Silent Auction- Most of the revenue last year came from silent auction.  Originally didn’t want to hold silent auction this year to give sponsors a break until next year’s convention, but the event won’t be successful.  A silent auction will be included in this year’s event.

IX.           Website

Daniel updated the website at www.AAJAHawaii.org.  This is a temporary update, while the website is being further renovated.

X.             Next Meeting

Sunday, April 3, 2005 at 4pm at Gordon Biersch, before AAJA Membership Meeting.
